Contribution Statement Status

When running Contribution Statements, you might notice that there are two different types of “Statuses”, the Batch Status and the Statement Status.

Let’s take a quick look at these and talk about their importance.

The Statement Status (also referred to by Status in the detail pane of the Statement pane) displays the progress of running the report for that particular Donor.  For some systems, this may be a very quick process.

When the report is completed, it will be Generated.

When the batch is published, it will be shown as Published.

If the Statement is reissued (see below), it will be marked as Void.

The Batch Status has two options, Draft and Published.

When a Contribution Statement batch is generated, it will remain a Draft until you manually publish it using the Publish button in the page menu.

Once Published, you will no longer be able to delete the Contribution Statement batch from Empower.  You can archive it (remove it from the Statements page); however, it will remain in the Donor’s records.

You must Publish the batch to be able to email the statements.

Also, any unpublished PDFs generated will include a DRAFT watermark.

Incorrect Statements Reissue / Void

Sometimes mistakes are made.  Sometimes Contributions need to be corrected or added after the batch has been run.

If that’s the case, you will simply make the correction on the Contributions page.

Next, on the Contributions>Statement page, find the previously generated report.

Click on the blue vertical ellipsis on the far right of the row and click Reissue.

A pop-up window will appear asking you to confirm that you want to void the previous report and reissue it.

Why is this process necessary?

Empower’s goal is to keep your records completely accurate and help ensure your congregation is confident in your recordkeeping.  The Draft-Publish process helps assure that any Contribution Statements that your Donors receive will permanently match the reports that are generated in Empower.  Once they are published, any post-publishing edits require a new Contribution Statement to be run or the individual Statement to be reissued.
